Carrier Connectivity FAQs

Everything you need to know about carrier connectivity and our solution

What is EverythingBenefits Carrier Connectivity and how does it work?

EverythingBenefits Carrier Connectivity solution allows companies to automate the delivery of benefit enrollment data and any changes directly to insurance carriers.  The HR data provided by an employee during open enrollment, eligibility changes, or life change events is automatically communicated from our clients' HRIS or our own benefits enrollment solution, transformed into any of the required carrier formats, and is securely transferred to any of the 600+ insurance carriers in our carrier network. The solution reduces the time it takes to build an automated connect to days or a few weeks and can work any sized group.

We also have a sister solution called Financial Connectivity, which allows our clients to deliver 401(k), 403(b), and other deduction information to providers and from providers via EDI after each payroll.

What are the benefits of using our Carrier Connectivity solution?

Our Carrier Connectivity solution completely eliminates the manual method of communicating highly sensitive benefits data, it works for any-size groups and is fast! What's more, our system will monitor every ongoing communication to ensure smooth and worry-free ongoing experience. The clients have access to our portal where they can access every communication and be in the loop of what was sent to whom and when.

What is an EDI and how does it work?

EDI stands for Electronic Data Interchange. It is an electronic communication method that provides standards for exchanging data via any electronic means. EverythingBenefits team and technology takes all the necessary steps to build and QA the EDI file and make the process seamless and automated for clients.

What is a Smart Form and how does it work?

A Smart Form is the carrier's enrollment, life-change, or drop coverage document. Typically it is provided to the client, partner, or broker by the carrier. EverythingBenefits uses proprietary smart form methodology to transfer the benefits information where standard approaches may not be possible for the carrier.

Should I do Smart Forms or EDI?

Typically, carriers allow employer clients sized over 100 to setup EDI. EverythingBenefits will start with building an EDI connection whenever possible. When that is not an option, smart forms will get the job done so that clients kiss the manual data entry good bye for good. Smart forms take only several several business days to deploy, which is why they are often a solution of choice if the client needs to get the automated solution up as quickly as possible. Please talk with our team to find out what approach works the best for you.

If I choose Forms, can I switch to EDI?

Yes! Many clients start on Forms and once the EDI implementation is complete they move on to the EDI connection. Once up and running, EDI is a less hands on process for partners to send data and for carriers to receive that data. Talk to us - we are happy to help.

My carriers will not accept an EDI file.  How can benefits data be communicated to them?

Don’t  worry if your carriers will not accept EDI files.  EverythingBenefits can communicate data using our Smart Form solution.  These digitized forms are populated by the system and sent to your carriers’ contacts.  This removes the need for employees to manually fill out these forms, and for administrators to key-in enrollments on carrier websites.

I want to be more hands-on with the data that is sent to the carriers.  How can this be accomplished?

Within EverythingBenefits you will be able to see each file that has been sent from the system.  You can confirm if emails or faxes were delivered successfully.  You can see each EDI file that has been delivered, review the summary of data held within each file, and even use our comparison tool to compare multiple files at once.  Workflows can also be configured to notify you and your team if any changes have been made and if data will be communicated to your carriers.

How often do EDI files send to the carriers from the EverythingBenefits system?

This is typically dependent on the carrier.  EverythingBenefits is capable of triggering files to send at any frequency, but we will work with the carriers to determine when they will accept the files from us.
